Hello Everyone, I am Project Manager in Home Depot México division.

 

Last year we purchase Eproject and we are running currently PPM6 on premise, we implement also a PMM in our company, this year we are looking to implement a process to audit the use of the Eproject tool and the use of the PMM.

 

Does any one have any references on how to set up a process and tools to project management auditing?

 

Have some one create already a Dynamic application that can work to document the results of the project management auditing?

If you define the parameters of your desired audit data we might be able to focus a better answer but I will take a shot at it here.

Using ARE (the Crystal reporting piece) you would be able to better structure User data along with the number of items, frequency and activity information across multiple applications that that user(s) worked with in a single report. 

If you are using the standard reporting engine then you would create separate Application reports for each application.  For example, I went to find out if a customer was using the Documents application so I ran a Document report, asking for the name of the document, who last modified it/uploaded it and when - and ran it across all projects.  This gave me an idea of the volume and level of use of Documents within that customer's environment.  Repeat this process for all applications.

Or you could use views to do the same thing.  In fact a custom "Audit" view for Projects (Executive Tab would be best to see ALL projects) would be handy and you filter in all projects, include who created them, who manages them and when was the last status update to see frequency (assuming they use status update at all).

So without ARE it is a little bit manual but you can get a basic idea of frequency and volume of use if that is the goal of the Audit.

If you use ARE then you can instead just get a raw number of items and frequency of use, along with the user's last login date.

What exactly are you looking for?  Normally, when orgainzations implement a project management information system or project management solution, they baseline their processes prior to initiation.  Periodically, they will again take the same measurements to see if their processes are improving.

Depending on the results of their measurements, they can make process changes or changes in the features/use of the solution.

Thanks a lot for your quick answer, like you said we have our processes that support our PMM and the use of Eproject PPM6, and we trained our Project managers on the PMM and the use of the application.

 

This year we are looking forward on implement a process and tools in order to perform periodically Project Management audits, and evaluate if our PM’s are using PPM6 and creating all the deliverables based on hour methodology.

 

Of course we will like to support our auditing process with some dynamic application (if posible) or some aditional data generated and recorder on PPM6.

 

Do you have any idea if some is doing this on PPM6 currently?

Or do you have any idea about what we can do on PPM6 to achieve our goal?!

We will to keep track of the following parameters in the audit

*Frequency of use of Eproject

*Deliverables of the PMM according with the phase of the projects

*End Dates and changes on the deliverables dates

*General documentation defined on the PMM

See the attached document I have used when doing quality reviews for PMOs and project organizations.  If you select some of the attributes you want to audit, a DA can easily be created providing scoring at the item level to roll up to an overall score. 

Steps:

1) Select the items you want to rate

2) Select the appropriate rating and weighting for the item

3) Create the DA with the items selected (make each item a picklist with values and put in your rating such as 1-5 in both the picklist and the values).  Finally, you will create a calculated field at the end and add up all values times their appropriate weighting. 

This is very similar to the process I use for prioritizing projects during the selection process.
