    Online Project Requests

    Hiya!
    Hey...we have a 'form' online that we currently use for our HQ staff to submit their project requests. I was wondering if there is any way that we could somehow incorporate the PPM6 Project Request into our web environment. Any buddy out there have experience with this?

    We don't necessarily want all of HQ to have login id's for PPM6, but we'd like to have them be able to enter in a request online (in our Portal) and that information somehow auto populate into our various Project Request Types and then they'd get sent off to the appropriate approvers and we could allocate resources etc. I think at the conference it was mentioned that this is possible, but I'm not quite sure how....As an Admin I can simply go to the PR types list and click 'generate web form', but not everyone has those permissions......

    Currently what we are doing is going into our Portal site, opening the PM forms and then copying the information into the PPM6 Project Request area (Create Project Request)

    Cookie, The best way to accomplish your goal is to create a Project Request from a Project Type and then create a Webform of the Project Request. You can post the webform on your website and anyone in the company can submit a project request. The Request will go through your defined approval process to be approved and allow you to generate a project. The process is easy to use.

    Hiya :) Ok...we're a bit confused when we try this....how exactly do we create a webform of a request? Uhm the only time I see the generate 'web form' is from the Project Request Type page, but that's only viewable to Admins and we def don't want to give those rights to everybuddy. Then once I create a Project Request from the generate web form it just submits it to be approved...I know this is simple and I'm just missing somethin....

    Oh, and when we take the web form from the 'generate webform' part and post it, it automatically takes the person who is requesting a project to eProject login and asks for a login id and pw...and again, we're not trying to give out that many licenses and have that many people in the system...just the people who will actually be working on the projects...

    Cookie,

    Go to the Admin Zone and in the Project Types area, click on your Project Request Types List.  If you click on the Action button next to your Project Request type, you will see Generate Webform as an option.  Once generated; don't open, but save to your desktop.  You will see it on your desktop.  You can open the file and input the information for a project request.  Once submitted, it will show up on your project request tab.

    If you place this webform on your website or send out as an attachment in email, anyone can submit a project request whether they have a license or not. 

    If you are getting asked for a login, this is being addressed with Hot Fix 6 due out this week.

    John,

    Can these webforms be linked to current web pages where users are already submitting project requests?  Then linked up to eProject?Big Smile [:D]

    Sorry for the late reply. Yes, a webform is a HTML page and can be placed on any website.

    Can a web form be saved until it is complete and then sent to Daptiv?  Clicking on "Finish and Save" submits the form but we do not want it submitted until it is compelte.  The requester may start it but need to save it until they obtain some additional information.  I can't find a way to do this.  Any ideas?

    Monica, I have tried to do this exact thing "save the web form before submitting" to the Daptiv system. I have not be able to do this. I would love to know if the system could do this also. Derrin Ritchie OhioHealth

    How does the person submitting this request find out if it was approved or not? That is, I generated the webform, so now it looks like all project requests come from me. I have a field for "requestor" in the webform which is a members field,  but when projects are approved or declined, does the person in the members field get the email? Are there any special settings I have to configure for this?

    re:  saving a web form. 

     It's a web form - which means that it's not exactly like a Word document - it's a dynamic form viewed through an internet browser.  It really wasn't (and in terms of general use of any web site's web form outside of Daptiv) intended to be saved and filled in as desired over time.  Same as when you posted your topic here, you didn't have the option to stop mid-point and save it, to come back later and finish your post. 

    Although this would be a nice feature, and I have seen some variances of being able to save the form (more-so as a receipt where you get a completed copy) it could create consistency issues.  One example is if the form on the server changes during the time frame a user has partially filled in an old saved form then hits submit, but that old form doesn't match up to the data requirements of the new form.  

    I tired messing around with the file>save as function of MSIE and Firefox at one point awhile ago to see if you could basically save a partially filled in form but it didn't quite work out the way I wanted it...

    There is no way for Daptiv to communicate with *any* user that submits via webform.  All communication would have to occur inside PPM itself, which means that the requestor needs to submit via the Project Request link inside Daptiv.  The approval routing states that the "Creator (requestor) can receive a notification upon approval" which works internally because the creator has to log in to submit (and is thus validated).  We can not validate the "creator" from a web form - even from a members list.  (for those that noticed - this is why it defaults to the name of the Admin that created the web form itself once inside the system.)

    If your list of members are truely members of Daptiv then have them use the internal form that is generated - this will give you what you want.  Use permissions to hide information that they shouldn't see.  Post up if you tried this and there was a short-coming.
