    View or Report by Phase

    I would like a view or report that shows each project with associated project phases and the % complete within that phase. So it would be similiar to an outline level 2 view within the project tasks. An example would be

    Project Name

       Requirements   % complete

       Design              % complete

       Etc....               % complete

    Is there a way to accomplish this on say the executuive tab?

    Hi Matt,

    The problem you're going to run into with this specific report is that the project Phase is unrelated to the task schedule, so there is no way to automatically calculate what percent complete a given phase is.  Here are two possible approaches for you:

    Solution 1 (aka The Quick and Dirty)
    Create a project Status field called " Phase % Complete."

    • Pros: This allows the project manager to manually note where the current phase is when giving a status update.
    • Cons: It relies on the PM accurately judging and then updating the status of the project and phase, and doesn't give a running history, so to speak, when looking at the view - you only get current phase and % Complete.

    Solution 2 (aka More Work to Set Up, But Is What You Are Expecting to See)
    Since the true % Complete is derived from the Task % complete, you can actually create a Task view that gives you exactly the view you are describing here, it's just not necessarily as intuitive to look at the Tasks tab when you're looking for Project Phase completion.

    Here is what I created and the steps I took:

    First, I added a Task custom field called "Project Phase."  I made it a Yes/No checkbox with a default value of "No."

    Next, I created summary tasks in my projects representing my project phases.  For these summary tasks, I set the Project Phase checkbox to "Yes."  Each "Project Phase" task contains all corresponding project work as sub-tasks, so the sum total of the % complete of those sub tasks effectively yields the overall Phase % Complete.

    Finally, I created a custom Tasks View Called "Projects by Phase."  The only fields I included were the Task Name, % Complete, Planned Finish and Planned Start. I grouped the view by Project Name, then sorted the view Descending by % Complete.  Then I just needed two filter criteria:
      - % Complete is greater than 0
      - Project Phase equals Yes

    The result is a view that shows my project Phases (as denoted by the task "Project Phase" checkbox) ordered by the % Complete.  You could also drop the % Complete filter to show all project phases, but for my view I just wanted to see those phases that are either complete or in progress.
