    Individual Resource Calendars

I am looking for some feedback regarding setting calendars for individual project team members. I need to schedule around vacation days and othe types of time off and as far as I can tell, the Enterprise Calendars do not accommodate occasional non-work time.

In the past, in working with MicroSoft Project, I have used the individual resource calendars to block out specific days for different resources, but I do not see something comparable to this in eProject.

    Any suggestions would be appreciated.

You are correct, Enterprise Calendars do not facilitate this need and eProject does need to provide a better solution to managing PTO/Vacation at the user level.  PPM6 does address this in part so a change is coming.

For today, a decent solution I have suggested in the past is to create a "Public" workspace (a program or portfolio will suffice) that has the Tasks Application enabled.  Users (or their managers) may input tasks that represent pto/vaction and assign it to the member for the timeframe that it occurs.  We use this internally for our consultants in Professional Services and it works quite well.  Each user is a Summary Task, with their PTO time put in as a task and then assigned to that users.  Using Quick add it takes very little time to input a pto "task" into the schedule at any insertion point.  In addition, by placing it in its own workspace you can single it out or add it in to standard reports or ARE.

    Steve:

Now that PPM6 is here, is there a new solution for this problem?

Microsoft Project, in the "Tools/Change Worktime" menu, allows you to designate specific days within a project time period which are non-working days; it also allows you to designate vacation days for users; if a user is assigned to a task which occurs during one of these designated time, the task will automatically skip those days off.

I don't see anything similar in PPM6; are we left with the same problem as in Enterprise?

I believe (and you know this already) that the resource planning tool is the only area that comes close to having some functionality around vacation scheduling.  It has not yet been addressed in the Tasks/Global Calendar settings area afaik.

    Denise,

Have you had any luck setting up a vacation calendar?  I would be interested to see how well these ideas worked for you.

Steve,  This part of Daptiv continues to lack basic functionality that does not harm the project plans.  I've been told NOT to use Global Non-working time due to annoying issues and bugs.  The above posted method will not schedule other projects around the PTO task, only show an over-allocation in scheduled activity.  Therefore, the end dates on my project tasks will be incorrect, unless I add days to them to account for the holiday or vacation.  This is un-necessarily complicated.  Is there a simple way to create a day where a resource or all resources will not be available to perform work (like a Saturday is treated now) that does not create errors in project plans/baselines or un-neccessary notifications?

    Re: Individual Resource Calendars

I have been advising customers to create an Admin project to handle time off.  In this project, I place the Time Off Request DA to allow users to request time off, have it approved and have the item place on the schedule using the Tasks application.  All users are invited into this project so the task can be assigned to the requesting user.  This assignment consumes their available time and slips other projects around the day.  Now the user will see the task on their timesheet and can write time against the task so you will have a balance between Scheduled and Actual and can easily run reports against Admin time.

Another solution (though not as advised) has been to invite all users in as PM on the project and allow them to schedule their time from the Tasks application.  They can now write actual hours against it.

I don't advise the use of Global Non-Working time as it is presented today because nothing shows up on your timesheet and the users can't write time against it.  I have no accounting of Scheduled and Actual.

"This assignment consumes their available time and slips other projects around the day. "

In what way do other projects slip around the scheduled day?  As far as I can tell, Daptiv will allow me to schedule the same person on multiple activities at the same time and completely over schedule their time.
