    External Resources and Timesheets

    I don't believe this information has been posted previously, so I thought I'd put it in this forum in case anybody's searching for how to do create and submit timesheets FOR external resources:

    Steps to create ER timesheets:

    1. Bulk-edit External Resources and set their "Timesheets Required" field to Yes.

    2. Enable Overdue Timesheet notifications to go to Supervisors, Resource Managers, and/or Approvers

    3. When the current timesheet period ends (not when it starts), timesheets will be created for the "timesheet required" External Resources. Those timesheets will be accessible from the Timesheets by Resource (or by Project, or Pending Approval) page.

    4. After this first timesheet is generated for External Resources, the PM (or whoever) can generate the next period’s timesheet for that ER by opening an existing timesheet and navigating to the next Time Period. You can turn off notifications at this point if you want.

    This is a great find.  I worked with Daptiv Support to test this process on our site.  My only outstanding question is how do you find out which timesheets have hours on them once the initial timesheet has been created?  The background on this is that we've had external resources assigned to projects for several months and the PMs have been updating the tasks to which these external folks have been assigned, recording effort.  Once you create a timesheet for these resources, the time that had been added via the Update Task process goes onto the timesheet and these can be approved (and included in the summary cost fields for the project).  The problem is that I don't see an easy way to find out which weeks need to be reviewed and approved for each of these resources.  Because we have been adding time for several months for over 60 resources, this is not an exercise that I want to tackle by paging through each week for each resource.
